Terms of service

Last updated 13 September 2026

These terms apply whenever you book a free trial, a lesson, a 5-pack or coursework feedback with Cognivia Tutoring. By booking, you agree to them.

About us

Cognivia Tutoring is run by Archie Dyer and based in Marylebone, London. You can reach us at cogniviatutoring@gmail.com or on +44 7535 185867. In these terms, “we” and “us” mean Cognivia Tutoring, and “you” means the parent, guardian or student making the booking.

Our services

  • 1-hour, 1:1 lessons in Maths, Physics, Chemistry and Economics, for IGCSE, GCSE, A-Level, IB (SL and HL) and the TMUA and ESAT admissions tests. We don’t run group classes.
  • Lessons take place online via Google Meet, or in person around Marylebone, London. In-person lessons cost £10 more than online lessons.
  • 5-packs: five 1-hour lessons, paid for in advance, with £15 off.
  • A free 30-minute trial lesson, online via Google Meet. No card is needed.
  • Coursework feedback: detailed written comments on your work within 5 days. Work up to 1,500 or 3,000 words also includes a 30-minute call to go through the feedback.
  • After each lesson, parents receive a short note on what was covered and what to practise next.

Booking and payment

  • You book through our website. Parents can book for their child, and students can book for themselves. Lesson times are shown in your own time zone.
  • Prices are in pounds sterling (GBP) and are as shown at the time you book.
  • Payment is taken upfront when you book, securely through Stripe. You can pay by card, Apple Pay or Google Pay.
  • Your card details are handled by Stripe. We never see or store them.
  • After buying a 5-pack, your 5 lessons are added to a My lessons account linked to the email you paid with. You log in with that email and a code we email you, then book the lessons one at a time, whenever suits you. Each booking uses one lesson.

Cancelling and rescheduling

  • To cancel or reschedule, contact us by email or phone at least 24 hours before the lesson. You’ll get a refund or a credit. Lessons can’t be cancelled online, so please get in touch directly.
  • Cancellations with less than 24 hours’ notice, and missed lessons, are charged in full. For a 5-pack, that lesson counts as used.
  • If we have to cancel, you can choose to reschedule or get a full refund.
  • Lessons from a 5-pack can’t be moved or cancelled in My lessons. To move or cancel one, contact us by email or phone at least 24 hours before. If we cancel a lesson from a 5-pack, it’s returned to your My lessons account so you can book another time.
  • If a student joins late, the lesson still ends at its scheduled time.

Coursework feedback

  • Feedback is priced by word count: £50 for up to 750 words, £100 for up to 1,500 words and £200 for up to 3,000 words.
  • Email your work to cogniviatutoring@gmail.com. We return detailed written feedback within 5 days of receiving it. For work up to 1,500 or 3,000 words, a 30-minute call to go through it is included in the price; you book the call at least 5 days ahead.
  • Feedback is guidance only. We never write any part of the work. Students remain responsible for their own work and for following their school’s and exam board’s rules.

Online lessons and safeguarding

  • Archie Dyer holds an Enhanced DBS check.
  • Online lessons take place on Google Meet. The meeting link is in your booking confirmation email.
  • Students under 18 need permission from a parent or guardian to take lessons.
  • For students under 18, a parent or guardian should be at home during online lessons.
  • Lessons are not recorded.
  • We expect respectful behaviour from everyone. We may end a lesson early if behaviour is inappropriate.

Results

We’ll always do our best to help students progress, but we can’t guarantee specific grades or results.

Liability

Nothing in these terms limits any liability that can’t be limited by law. If a lesson can’t go ahead because of a technical problem on our side, we’ll reschedule it.

Changes to these terms

We may update these terms from time to time. The version shown on this page when you book is the one that applies to that booking.

Law

These terms are governed by the laws of England and Wales.

Refund policy

Last updated 13 September 2026

1:1 lessons

  • Cancel or reschedule at least 24 hours before the lesson: refund or credit.
  • Less than 24 hours’ notice, or a missed lesson: no refund.

To cancel or reschedule, email cogniviatutoring@gmail.com or call +44 7535 185867. Cancellations can’t be made online.

5-packs

The same 24-hour rule applies to each lesson in a 5-pack. If we cancel a lesson from your 5-pack, the lesson is returned to your My lessons account. If you need to stop early, get in touch and we’ll agree a fair refund for any unused lessons.

Coursework feedback

  • Cancelled before we start reviewing your work: full refund.
  • Once feedback has started: no refund.

If we cancel

If we have to cancel a lesson, you can choose to reschedule or get a full refund.

How refunds are paid

Refunds go back to your original payment method through Stripe, usually within 5–10 working days.

Your statutory rights

This policy doesn’t affect your legal rights as a consumer.

Privacy notice

Last updated 11 October 2026

Who we are

Archie Dyer, trading as Cognivia Tutoring, is the data controller for the personal information described here. For any privacy question, email cogniviatutoring@gmail.com.

What we collect

  • Details from the booking form: name, email, phone number, who’s booking, the student’s level, subjects, grades and goals, and any notes or files you share.
  • Short lesson notes written after each lesson, covering what was covered and what to practise next.
  • Payment information, which is processed by Stripe. We don’t receive full card numbers.
  • Your My lessons account: your email address, the lessons you’ve bought and booked, and the booking details you enter, such as your name, phone number, who’s booking, the student’s name, subject, level, exam board and anything to focus on.
  • Messages you send us by email, phone or WhatsApp, including coursework you email for feedback. WhatsApp is run by Meta, so messages sent that way are also handled under WhatsApp’s own privacy policy.
  • Any review you choose to send us. It is published only with your permission, and you can ask for it to be removed at any time.

How we use your information

  • To arrange and deliver lessons and coursework feedback.
  • To write a short note after each lesson. Lesson notes are shared with the parent or guardian who booked.
  • To take payments.
  • To send booking confirmations and Google Meet links.
  • To run your My lessons account: sending login codes, showing how many lessons you have left and booking your lessons.
  • To reply to your messages.
  • To keep financial records.

Legal bases

  • Contract: we need your information to provide the lessons and services you book.
  • Legitimate interests: running the business, such as replying to enquiries.
  • Legal obligations: for example, keeping tax records.

Children

Bookings for students under 18 should be made by, or with the permission of, a parent or guardian. We only collect what we need to teach.

Who we share it with

We only share information with service providers that help us run lessons:

  • Cal.com for booking.
  • Stripe for payments.
  • Google for email, calendar and Google Meet. My lessons login codes and account emails are sent from Gmail.
  • Netlify for website hosting. Your My lessons account details (your email, the lessons you’ve bought and booked, and the booking details you enter) are stored with Netlify.

Some of these providers may process data outside the UK, with appropriate safeguards in place. We never sell your data or share it for marketing.

Cookies

We don’t use advertising or tracking cookies. The booking calendar (Cal.com) and Stripe checkout may use cookies that are needed for them to work. When you log in to My lessons, we set one cookie that keeps you logged in on that device for 30 days. It’s needed for your account to work, and logging out removes it. Our fonts are served from this website, not from Google Fonts.

How long we keep it

  • Lesson and booking details, including lesson notes: while you’re a student, and for up to 2 years after your last lesson.
  • Payment and financial records: for as long as the law requires.

Your rights

You have the right to access, correct or delete your information, to restrict or object to how we use it, and to ask for a copy to take elsewhere. To use any of these rights, email cogniviatutoring@gmail.com.

If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.

Accessibility

Last updated 13 September 2026

We want everyone to be able to use this website. We aim to meet the Web Content Accessibility Guidelines (WCAG) 2.2 at level AA.

What we’ve done

  • You can move around the site with a keyboard, and a visible outline shows where you are.
  • Text is large and easy to read, and text and controls use good colour contrast.
  • Images have text alternatives.
  • Animations switch off when “reduce motion” is turned on in your device settings.

Third-party pages

The booking calendar is provided by Cal.com and the payment pages by Stripe, so their accessibility is managed by those providers.
